Who this policy covers

Quick Meters Limited operates Quick Meters. This policy applies to the Quick Meters Android application and website, including customer accounts and property-management access. It explains the information handled when you verify your phone, buy water or power tokens, manage assigned properties, or contact support. Property operators and payment providers may also have their own privacy policies.

Information we handle

We handle information you provide, information supplied by your property team, and records created when you use the service.

  • Account details: phone number, optional name, phone-verification records, and manager or administrator login details.
  • Utility records: meter numbers, property and unit details, occupancy assignments, utility type, purchased units, tokens and vending timestamps.
  • Payments: payer phone number, amount, M-PESA transaction reference, status, and payment timestamps. Do not provide your M-PESA PIN to Quick Meters; payment approval takes place through M-PESA.
  • Support: the subject, description, meter details, and responses associated with an issue you report.
  • Security and operational records: authentication tokens, login attempts, audit entries, and server error records, which may include request or account information.

Why we use this information

We use these records to verify access, process payments, generate and deliver utility tokens, display payment history, manage properties and occupancies, respond to issues, reconcile collections, and protect the service against unauthorised access and fraud.

Access is limited by account role and property assignment. A change of occupancy does not transfer the former customer’s phone-based account history to the new occupant.

Service providers and sharing

Relevant information is shared with M-PESA/Safaricom for payment processing, SMS providers for verification codes and token messages, meter-vending providers for token generation, and hosting providers that operate the service.

Authorised property teams can access records needed to operate their assigned properties and resolve support requests. Information may also be disclosed when necessary to meet a legal obligation, resolve a payment dispute, or protect accounts and the service.

The current app does not contain advertising or advertising-analytics SDKs. We do not use your personal information to sell advertising.

Your device and security

The app connects to the service over the internet and stores sign-in tokens using the device’s secure storage. Signing out removes the local session token. The app does not currently request access to your contacts, precise location, microphone, or camera for its utility workflows.

Access controls and encrypted network connections help protect information. No device or service can guarantee absolute security. Keep your device secure and do not share verification codes or account credentials.

Retention and deletion

We retain account information while your account is active. After account closure following verification of your deletion request, ordinary account and associated personal data that is not subject to a legal retention requirement is deleted or anonymised within one month. Copies in backups are removed through backup rotation within the same one-month period. Financial records required for tax compliance are retained for five years from the end of the relevant reporting period. Where a legal proceeding requires those records for longer, they are retained until the proceeding is completed. Retained financial records are restricted to the information needed for that obligation and are not used to keep your account active.

You can request account deletion through the Delete account page. We verify the request before changing account access. Account deletion covers the account and associated personal information that is no longer needed; records retained for payment reconciliation, dispute resolution, security, or legal obligations are handled separately and explained when your request is reviewed. Signing out or uninstalling the app does not delete server records.

Your choices and requests

You may contact us to ask about your information, request a correction, request access to your information, or request deletion. We may ask for verification using your registered contact details to prevent someone else accessing or deleting your account. Do not send passwords, OTP codes, M-PESA PINs, or full payment credentials in a request.

If a record is managed by your property operator, we may need to coordinate with that operator. You can also contact your property team about incorrect occupancy, meter, or utility records.

Children and policy updates

Quick Meters is intended for customers authorised to make utility payments and for authorised property staff. It is not directed at children under 18. If you believe a child’s information has been provided inappropriately, contact us.

We may update this policy when the service or its data practices change. The revision date appears at the top of this page. Material changes will be communicated through the service where appropriate.
